German HR Coordinator

Summary

Responsible for all HR Administrative tasks relative to team members including: Monthly Headcount reporting, maintenance of Team Member files coordination of new hire and on-boarding process. Processing team member status changes, coordination of Exit Process, payroll actions, and team member development.

Essential duties and responsibilities:

Headcount Reporting: Prepares monthly team member actions report, including current team member listing, new hires, terminations, promotions and transfers. Send to HR Coordinator EMEA Headquarters at the end of each month. Prepare other HR reports periodically for HR EMEA and / or Business Area Directors/Managers.

Team member file maintenance: Responsible for collecting and maintaining all documents required per the “New Hire” check list. Maintain / update employee data: address, phone numbers, emergency contact information, and send copies of updates to HR Coordinator EMEA Headquarters

Authorization to Hire: To begin recruiting process, coordinate with Hiring Managers to ensure completion of “Request to Hire Form” for new or replacement positions. Send to HR Coordinator EMEA Headquarters to obtain appropriate approvals. Alert Hiring Managers when approval is obtained and coordinate hiring process once an applicant is selected.

Coordination of New Hire Process: Assist with preparation of Labor Contracts, coordinate with Hiring Managers, Business Area Managers/ Directors, legal consultants or use standard contract. Prepare documentation to be signed by new employee on day one employment, coordinate enrolments with insurance carriers, ensure the following are ordered if applicable for the position: company vehicles in accordance with policy, furniture, mobile phones, business cards, computers and arrange Network/IT access and communicate various policies and processes. Make copies of New Hire Form, Labor Contract and CV for each new Team Member and send to HR Coordinator EMEA Headquarters.

Transfers & Promotions: responsible for ensuring completion of Team Member Action Request Form documenting promotions and / or transfer, obtain appropriate approvals. Provide approved documentation to HR Coordinator EMEA, payroll processor, add to Monthly Actions Report and provide information to insurance providers if required and maintain record.

Exit Process: Coordinate exit process following Exit Check List, including: arrange for collection of company equipment, termination of IT access, benefits, credit cards, cell phones, transfer of e-mail. Add change to Monthly Team Member Actions Report, Coordinate with BAM and ensure exit process is completed.

Coordination with Payroll: Coordinate closely with outsourced payroll provider, review wages, ensure accuracy, ensure distribution of payroll, and other information i.e. ticket restaurant management etc.

EDUCATION and/or EXPERIENCE

Knowledge of local regulations and norms, knowledge about company processes, forms and requirements as well local organization and EMEA Headquarters personnel. Ability to work with all levels of personnel, communicate professionally, be responsive and resourceful to obtain information as required. Must be well organized and, work efficiently, maintain accuracy and confidentiality. Must have working knowledge of outlook, word, excel and powerpoint.
