GC&E Sales Coordinator

A Conference and Events Sales Coordinator is responsible for receiving groups and events in the hotel, serving as an intermediary between the customer and the operational departments. It is the support of Convention & Events Sales Department.
What will I be doing?
As a Conference and Events Sales Coordinator, you will work following the events that occur in the Hotel from initial contact with the head of the event to prepare offers and then contracts for groups and events, until the end of the event and therefore must perform the following tasks with the highest standards:

  • Receive groups and events and keep up to date the hotel event diary
  • Draw up offers, cost calculations, contracts for groups and events
  • Insert Rooming List in the hotel's reservation system, update payment instructions and enter important information relevant to the group
  • Negotiate budgets with customers
  • Develop Banquet Event Orders in the system with all relevant information
  • Develop Group Instruction Sheet with all relevant information
  • Perform monthly reports as delegated by Head of Department
  • Ensure that a clear and effective line of communication is maintained with all relevant departments within the hotel
  • Meet & greet the customers upon their arrival to the hotel, meet the customers during the event and before their departure from the hotel
  • Check the final invoice and approve it for sending to the client
  • Ensure that all client requests are answered efficiently and with agility
  • Award Hilton Honour bonus points for events
  • Replace other Team Members while on sick leave or holiday

  • Demonstrated previous experience working in the Convention & Events Sales department
  • Knowledge of the hotel property management systems such as: ONQ, Delphi
