Reporting to Fleet Co-Ordinator

Based Warwick

* Part time 20 hours per week,

* 4 hrs per day 5 days per week

* £12,500 per annum

Job Description

The role of the Fleet Administrator is to support the Fleet Co-Ordinator with all responsibilities associated with the management of Wanzl’s fleet of vehicles.

Key Responsibilities

§ General fleet administration - ensuring all daily fleet tasks are completed accurately and promptly.

§ Processing road user charges and registering vehicles to relevant business accounts (i.e. Dartford, Congestion/ULEZ, Clean Air Zones, etc.)

§ Fines management – logging all vehicle related fines on a dedicated database, submitting appeals/payments/recharges within the appropriate timeframe.

§ Update databases with new starters & leavers, car & van reallocations, additions & terminations.

§ Processing road tax reminders, safety recalls, ad hoc hire requests, incoming post, outgoing post & parcels, new starter documents (requesting/completing licence checks), parking permits (residential and business).

§ Contacting Drivers with photo licences due to expire.

§ Fuel card & spare key management.

§ Downloading reports & following up with Drivers to ensure all defects are rectified & outstanding documents updated.

§ Using the vehicle tracking portal, downloading reports when requested.

§ Assist members in the Service Team with Fleet related queries.

§ Provide cover for the Fleet Controller when needed.

§ Daily Van Check – Review driver morning checks for actionable items

§ Credit Cards – Ensure receipts kept when used and kept for monthly reporting

§ Vehicle mileage gathering and recording

§ Complete other ad hoc duties as required

Key Skills

§ Taking responsibility and initiative without the need for day-to-day direction.

§ Organisational skills with great attention to detail is required.

§ Able to follow processes.

§ IT Literate - PC Skills in Excel, Word, Outlook, and other fleet related databases.

§ To be able to prioritise workload & work to deadlines.

§ Strong administration & communication skills with internal & external stakeholders via phone & email.

LICENCE/CERTIFICATION:

§ Clean Full UK Driving Licence is required
