The Role – Logistics & Planning Assistant

Our client a Fresh Produce Procurement business is currently recruiting for a Logistics and Planning Assistant to join their Logistics Team based in Maidstone Kent . In this role you will have a diverse skillset to effectively manage the arrival of goods, manage stock levels , optimise stock holding and planning the timely arrivals of goods .

The Person

Suitable candidates must have worked within a Logistics and Planning role previously preferably from Fresh Produce or from food manufacturing or FMCG with an understanding of handling and clearance, foreign transport , sea freight and duty. You will be responsible for tracking and coordinating all arrivals from all sources whilst ensuring stock level are accurately updated on the daily forecast

Key Responsibilities

* Ensure all arrival notifications are received and uploaded onto the system at least 24hrs prior to arrival reporting any problems to procurement

* Control costs on foreign transport, handling & clearance, sea freight and duty. Update the system within 24hrs of arrival ensuring 100% accuracy at all times with all changes to expected rates escalated to the Head of Supply Chain.

* Complete and maintain a master loading plan detailing all arrivals from all sources and ensure that this remains up to date

* Ensure all stock levels & arrivals are accurately updated on the sales forecast/MRP by 9.30am & 4.00pm daily & maintain as and when changes arise in order to facilitate accurate planning

* Monitor Retailers daily order split percentages ensuring accuracy to enable optimal stock holding

* Assist in the planning of timely arrivals, efficient date coding and overall ISS production planning.

* Publish rolling 7 and 14 day forecasts from Retailers to direct model suppliers by 10 am each day during summer season

* Issue date codes for all PAS product in an accurate and timely fashion in order to meet the PAS targets and minimise strip outs

* Analyse TIMS systems to ensure that the scheduled directs match the loading plan prior to despatch and order receipt from the customer

* Raising delivery notes and issuing booking references for all Direct Deliveries.

* Sea arrivals track progress through the various shipping line websites, highlighting any delays

* Book all necessary foreign transport to meet required collection and delivery days and report any variance to plans for any reason on a daily basis, particularly for direct deliveries

* Update all clearing agents and third party packers with expected arrivals for next 7 day’s

* Maintain arrivals board and by 2PM each day advise third party packers of the next day’s arrivals

* Track and update ETAs into 3rd party sites through the day

* Book all necessary outbound transport to supermarkets, liaising daily with haulage companies and communicating any changes to the schedule of collections, publishing average costs monthly for costings

* Ensure that we constantly maximise pallet efficiency on both inbound and outbound haulage with variances communicated asap

* Manage day to day relationships with our clients clearing agents, monitoring charges incurred for plug in and demurrage publishing costs to the business on a monthly basis

* Review and sign off all transport and logistics related invoices, monitoring additional costs incurred for second drivers and publishing those costs to the business on a monthly basis

* Collate the weekly forecast and 3rd party capacity data to share with the business, raising any capacity or PAS concerns to the Head of Supply Chain and relevant commercial account managers

* Publish inbound and outbound forecasts to relevant contacts on a weekly basis, raising any concerns re storage or intake profile to the Head of Supply Chain should extra action be required

* Monitor inbound Phytosanitary Certificates to ensure that correct declarations are present in order to service our customers back in the European Union

* Finalise inspections with APHA 24 hours before export, detailing order quantities, country of origin and original import Phytosanitary numbers, with additional declarations present as per EU requirements

* Collate daily export paperwork to both Belfast and Dublin and share with relevant parties by14:00 daily pre export, also uploading Export Phytosanitary Certificates into Retailers systems

* Complete P2D for additional retailer exports by 14:00 the day prior to delivery
