Senior Administrative Assistant, Consulting Group

Summary:

 

The Senior Administrative Assistant is responsible for providing a variety of executive administrative support services to four key Executives within the Vancouver Consulting teams.  He/she interacts with all levels of the organization, as well as external clients to provide information on the VP’s behalf.  The Senior Administrative Assistant manages internal and external requests, coordinates both senior in-house and off-site meetings and organizes special functions as required.

 

Responsibilities:

  • Maintains the VP’s schedule and calendar, prepares daily agenda and meeting materials
  • Manages correspondence, meeting requests and telephone or e-mail inquiries
  • Plans special functions and events, both on and off site
  • Organizes and attends meetings, orders catering, arranges and tests all equipment, compiles meeting agendas and minutes
  • Coordinates travel arrangements, hotel bookings and car rentals
  • Manages expenses and expense reporting
  • Initiates appropriate action to requests for information from both internal and external groups
  • Prepares and revises presentation materials, reports and databases as required
  • Prepares weekly, monthly, quarterly and annual reports in MS Excel
  • Maintains files for internal, client and board materials
  • Liaises and coordinates activities or events through relationships with other Executive Assistants at Morneau Shepell
  • Participates in the development and implementation of special projects as assigned
  • Manages and directs general company inquiries by mail or email
  • Assists with routine daily tasks including managing office supplies, arranging lunches, etc

 

Qualifications:

  • Post-secondary education
  • Minimum 5 years of administrative experience working with senior management
  • High degree of professional maturity, confidentiality, tact, discretion and judgement
  • Comfort in a fast paced environment
  • Excellent verbal and written communication skills
  • Detail-orientated and a strong sense of urgency
  • Excellent organizational skills; an ability to multitask and work with minimal supervision
  • Team player effective in interaction with all levels in the organization
  • Flexible and open to continuous change and ambiguity
  • Politically and organizationally savvy
  • Proficient in Microsoft applications, particularly advanced skills in both PowerPoint and Excel, as well as comfort using the internet as a research tool
