Job Description:
With our client, the people department plays a vital role in knowing and looking after the team. Their priority is making the experience brilliant for everyone. The Project Management Office (PMO) Coordinator will support our project teams working on site in Skelleftea and will play a vital role in creating and maintaining a cohesive administrative functionality across the entire group of companies.
You will be an experienced and excellent communicator, able to support our team members on site as well as remotely as needed. We require our PMO Coordinator to organize and align administration duties and company procedures. Your role is to create and maintain a pleasant and professional work environment, ensuring high levels of organizational effectiveness, communication, efficiency and safety. Our standards are high, and we require you to demonstrate sound judgement and strong communication and problem-solving skills. You should be a natural leader with plenty of patience and empathy to support our growing, multi-national team on site.
Our client's business is to provide various engineering and management services to clients. Therefore, the company's success depends on anticipating, coordinating and managing people-oriented scopes of work. The PMO Coordinator will aid our project teams to be able to focus on their work at the client site while our home office/back office supports a wide variety of their localization needs.
Key job responsibilities:
* Partner with the People Team to update and maintain company policies as necessary.
* Act as company steward to escalate and help problem-solve any on-site issues in a timely manner.
* Provide general support to visitors, liaising with other operations as necessary, on all travel bookings, car hire requirements, visas and associated documentation and accommodation.
* Assist in the on-boarding process for new hires, and the "soft-landing" process for incoming international team members. Our goal is to ensure our technical team members are able to focus on their customer deliverables right away.
* Address team member's queries regarding any coordination issues (e.g. accommodation and travel arrangements)
* Liaise with facility management vendors, including cleaning, catering and security services, if / as required.
* Plan in-house or off-site activities, such as celebrations and conferences.
* Organize office operations and procedures.
* Coordinate with IT department on all office equipment and computer needs.
* Support with any invoicing issues.
Requirements and skills
* Strong leadership skills focused on teamwork and collaboration and helping to foster an inclusive workforce.
* Proven experience as an Office Manager or equivalent.
* Knowledge of Swedish working practices and work permit legislation essential.
* Knowledge of Office Administrator responsibilities, systems, and procedures.
* Proficiency in MS Office (MS Excel, Powerpoint, Word and MS Outlook, in particular).
* Familiarity with email scheduling tools and MS Teams.
* Excellent time management skills and ability to multi-task and prioritize work.
* Attention to detail and problem-solving skills.
* Excellent written and verbal communication skills.
* Strong organizational and planning skills in a fast-paced environment.
* A creative mind with an ability to suggest improvements.
* Demonstrated ability to take ownership of tasks and complete them on a timely basis.
* Ability to demonstrate high judgement, empathy, autonomy, and flexibility.
* Fluency in Swedish and English.
Required Qualifications
* A bachelor's degree in business administration, human resources, or any related field, or a high school diploma or equivalent.
* Five years of experience in office administration or management.
