PRS are seeking to recruit an experienced Helpdesk Administrator based in Belshill - This is a contract role to 31 July 2024 - Paying £12.36 per hour - Based on working Monday to Friday – 37.5 hours per week.
 
Job Specification:  
Experience using a CAFM (Computer-aided Facility Management) is essential. Using this system you will track were job requests are and chase the relevant Managers/Engineers for the quotes ready to put into a formal proposal for the requestor.
To use the provided excel template to extract information from quotations and put it into a formal proposal
To assist with the raising of purchase/subcontractor orders as requested by the Contracts Manager, Supervisors and Engineers. This also includes chasing Purchase Orders from the Helpdesk or from the Client.
To keep track of all quoted helpdesk requests i.e. awaiting a PO from the client, awaiting PO from the helpdesk. 
To keep all Service Contract Files up to date
To work from the CAFM system and chase the relevant people for the quotes
To assist with the producing of operational and monthly reports internally and externally
To control the full implementation of the IMS and assist with internal audits to ensure fully compliance with EFS standard procedures and accreditations
To assist in the preparation of supporting documentation for the purposes of final invoicing. Finance background is preferred
To compile and distribute data relating to utilities, maintenance work, operational costs and invoicing
To assist with the producing and analysing of financial reports
To carry out general typing and filing duties as required
To compile engineers timesheets and input relevant information onto the Timesheet Database System as well as keep track of holidays
To respond to client’s Helpdesk requests and keep a tracker of were jobs are i.e. awaiting quotation from subcontractor, awaiting PO etc
To assist with emergency requests and administration cover from additional sites
Person Specification:
 
GCSE qualifications
Computer Literate i.e. Word, Excel, PowerPoint
Good communication skills & Telephone Manner
Able to work as part of a larger team
Conscientious
Able to work under pressure and to defined deadlines
Basic understanding of Quality Assurance and service delivery
Good interpersonal and customer relationship skills
Smart, presentable appearance
Personable and approachable
Flexible and adaptable
