Administrator - Luton Airport

Permanent - Monday to Friday - 0800 to 1630 or 0900 to 1730

Main Purpose of The Job:

To ensure the smooth and efficient running of administration processes, specifically the progression of work orders, from processing of digital job cards through to customer invoicing. To build and maintain strong professional relationships with both colleagues and customers and to provide support for the Company.

This role entails joint Admin duties for our Luton and Stansted entities, however will be based out of Luton.

Experience:

Experience of working in a customer focused environment / Data entry systems / SAP application

Main Duties and Responsibilities:

1. Ensure work orders have been fully completed by all parties and that all parts and subcontracted materials/services are attached prior to typing up

2. Photocopy and send service sheets to the customer upon receipt

3. Produce purchase orders and send out with correct work orders / Raise work orders to book subcontracting work if required

4. Consolidate work orders for customers ensuring chargeable items are in line with customer contracts

5. Create Proforma invoices for customer review and approval prior to producing invoices for R & M work

6. Confer with both the customer and the Operations Manager to resolve any queries

7. Raise credits on Operation Manager’s request

8. Monitor WIP by running regular reports and manage open/closed work orders accordingly

9. Produce weekly/monthly reports for customers

10. Enter timesheets on company application ensuring work orders correspond with job cards showing correct resource hours

11. Input of engine hours on company application

12. Assist with parts ordering and receipt and the maintaining of fueling records

13. Complete minutes of meetings when required

14. Maintain accurate records of overtime, sickness and leave days

15. Maintain regular communication with Managers, Supervisors and members of the administration team

Various administration:

Ordering stationery and uniforms

*

Maintaining and control of petty cash

*

Dealing with all incoming and outgoing mail, answering phones and act as a call forwarding service

Ordering of parts with advice from Techs and monitor lead times / Liaise with central parts dept to identify accurate parts requirement

*

Carry out regular stock inventory checks

*

Collate information on VOR report to advise W/shop Sup’r & Ops Manager of any potential delays

Knowledge and Skills:

Customer oriented/service delivery focused * Ability to work methodically, paying close attention to detail, and with excellent communication skills * Ability to work alone and as part of a team * Good financial understanding * Good IT skills; Basic knowledge of all Microsoft Office applications * SAP knowledge * Have a thorough knowledge and understanding of customer contracts
