Operations Administration Assistant

JOB PURPOSE: To report to and assist the Director of Operations in the delivery of the Administrative, operational & finance functions within the business, with specific focus on efficiency, accuracy, and profitability.

Duties to include:

• Product /Plant quoting, ordering & stock monitoring

• Managing & signing off warehouse and on-site deliveries

• Managing and facilitating the on-site build and planting team schedules

• Keep clients up to date with build/ planting schedules and order status

• Managing and facilitating the organisation of special events

• Fleet vehicle monitoring and facilitating maintenance and repair

• Liaise with suppliers and monitor trade accounts

• General bookkeeping & accounts reporting

• Attend finance department and company-wide meetings, assisting with financial reporting to board of directors.

• Monitoring and continual development of processes and procedures

• Keep up to date company information

• General administrative tasks

• Project administrative tasks

• Document and form filing

• Monitor and manage company email accounts

• Answering the business landline

You must be able to work autonomously and as part of a team, showing respect, dedication and commitment to the people you work with. You must be honest and trustworthy, maintaining high levels of integrity and discretion when dealing with confidential information and the ability to react with appropriate levels of urgency to situations and events, whilst remaining calm and professional. You must be committed to personal and professional development attending training and performance reviews. An interest and understanding of horticulture, the environment or design would be an advantage if putting forward an application for this role.

Experience/ Skills:

• Experience of operational/ administrative experience or equivalent role

• Experience of working in the landscaping/ horticulture/ construction industries would be an advantage

• Experience of working with financial data

• Computer literate

• Advanced Excel skills, with a working knowledge of other Office365 applications

• Experience and knowledge of accounting packages is preferred e.g. QuickBooks, Xero

• Ability to learn and become proficient in new software packages at pace

• Self-motivated and confident with high attention to detail

• Ability to work on several tasks at once while meeting deadlines

• Experience of using both windows and MacOS would be an advantage

• Full UK driving license required

You may occasionally work away from home for short periods of time to meet the needs of the business e.g. supporting show garden builds and projects at a distance. Subsistence and accommodation will be covered during this time. Uniform and equipment will be provided, and on-going training will be assessed through regular 90 day reviews.
