Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks related to organization and communication, and it is crucial that the candidate is able to work independently with a high level of professionalism.
Key Responsibilities:
Office Management:
Organize and schedule meetings and appointments.
Maintain office supplies inventory and place orders as necessary.
Ensure the office is clean, organized, and welcoming.
Administrative Support:
Answer and direct phone calls, take messages, and handle correspondence.
Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
Assist in the preparation of regularly scheduled reports.
Data Management:
Maintain a filing system for important and confidential company documents.
Update and maintain office policies and procedures.
Manage and maintain the companys contact database.
Communication:
Act as the point of contact for internal and external clients.
Handle requests and queries from senior managers.
Provide general support to visitors.
Project Assistance:
Assist in the planning and execution of company events, meetings, and conferences.
Coordinate travel arrangements including flight, hotel, and transportation.
Assist with special projects as needed.
Qualifications:
Education:
High school diploma or equivalent; Associates or Bachelors degree in a related field is preferred.
Experience:
Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
Knowledge of office management systems and procedures.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
