SUMMARY
As a Williams Parker Accounting Assistant, you will provide ongoing support to the accounting department by aiding with a variety of clerical-related duties. This is a full-time role that requires accuracy, efficiency, and the ability to work both independently and collaboratively in a fast-paced, high-volume environment where confidentiality and client service excellence are paramount. It requires an individual who readily adapts to changing priorities and business needs while being proactive in identifying areas of need and demonstrating agility to execute action plans. This role is anticipated to grow in complexity and variety with time and experience in this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Accounting Department Support
Assist with monitoring Accounting Requests email inbox.
Respond to and electronically file emails.
Review prepared trust wires for accuracy.
New Matter Intake and Conflict of Interest Check
Conduct database checks (within SurePoint, iManage, and the Secretary of State for entities) and review all party relations included in the matter workflow.
Perform the system search and return results in a formatted report to the requestor.
Maintain SurePoint database.
Accounts Receivable
Research SurePoint for accuracy in posting daily payments to client invoices.
Prepare cash receipt log and reconcile with SurePoint posting.
Monitor and post all incoming ACH/wires received.
Upload remote deposit to bank daily.
Follow up on outstanding invoices when attorney requests assistance.
Accounts Payable
Reconcile and code vendor invoices and follow up on invoice discrepancies.
Add new vendors to SurePoint and request W9s as needed.
Process disbursement checks.
Process stop payments and voids.
Follow up on outstanding operations checks.
Reconcile monthly vendor statements to properly expense and pay timely.
Coordinate annual payment with the Florida Bar and SRQ/MAN for licensing requirements.

Microsoft Suite. Advanced proficiency required.
