JOB SUMMARY
To provide support to the Marketing Department. Must maintain a well-groomed, professional business appearance, promotes and upholds professional office atmosphere at all times while on duty.
ESSENTIAL FUNCTIONS
Events- Will serve as support with such duties as securing rooms, event venue entertainment, ordering food through culinary department, handling day of event logistics and other duties to ensure a successful event.
Community Tours – Will conduct community tours as needed and have a working knowledge of the services and amenities of Acacia Creek.
Direct Mail – Will be involved in the logistics of direct mail campaigns from working with vendors to managing deadlines.
Assist Move-In Coordinator- with AOD file and enters demographics and contact information. Provide list of organizers, packers, move-in companies. Order keys, phobs, proximity cards, badges, door nameplates for new residents. Meet with future resident to complete all move in paperwork, and communicate all information regarding utilities and 8 hours move- in assistance. Coordinate the move-in with all appropriate departments.
Fill in at Concierge for lunch, meetings, when requested.
Handles telephone duties and data entry into Matrixcare database program, document telephone conversations, visits / event RSVP / tour dates, new leads, etc.
Brochure Requests - Responds to requests for informational material. Enters all requests into the Matrixcare program.
Advertising/Marketing Reports - Prepares monthly report of marketing activities, as directed.
Inventory Control - Maintain and update all departmental forms, letters, d-base files and monitor office, brochure and application supplies.
Ensure that a minimum of 100 brochures is maintained for distribution.
Welcome all guests to marketing office. Serve refreshments as required.
Marketing letters and mailings – Prepare marketing letters and mailings as requested.
Marketing phone calls to prospects and applicants as requested.
Job role requires regular interaction with staff and residents and prospective residents. Incumbent must have tact, diplomacy and good communication skills. Confidentiality a must.
Incumbent must be able to use good judgment and work independently toward goals as defined by the Sales and marketing Plan.
All employees are responsible for complying with safety policies and procedures and shall take the necessary measures to ensure a safe environment for oneself, co-workers, patients/residents, and visitors.
Responsible for clerical support and record keeping, which may affect operating or administrative functions.
Responsible for preparing guest room amenities and baskets.
Monthly mailings; birthday cards, etc.
Cross-train with the Sales Counselors for tour training.
Other duties as assigned.
Team member will obtain and demonstrate knowledge of Successful Aging philosophies through Masterpiece Living education, including the core values of Integrity, Dedication, Respect, Compassion, Teamwork and Quality. Associate will support and participate in the Successful Aging Culture (i.e., assist in new initiatives, encourage residents and act as their “coach”). Be familiar with and fluent in the language and details of Successful Aging/Masterpiece Living.
Requirements
SKILLS, ABILITIES AND EXPERIENCE
Requires some knowledge of the secretarial field. May be through technical training or a minimum of one year's experience in the field.
Must have computer/word processing skills, minimum 60 wpm typing, good phone skills and knowledge of office equipment.
Must be able to perform all secretarial duties as requested.
EDUCATIONAL REQUIREMENTS/LICENSES/CERTIFICATES
Any combination of education and experience that would provide the necessary knowledge and abilities listed, typically:
Must have California Driver’s license and be insurable under corporate insurance provider.
