Logo Administrative Coordinator (f/m/d) (Research Institute Administration) The Max Planck Unit for the Science of Pathogens (MPUSP) is looking at the earliest date for a highly motivated and qualified administrative coordinator (part-time) to support the team of the director - Prof. Emmanuelle Charpentier, 2020 Nobel Prize Laureate in Chemistry - in the administration of the institute. MPUSP is an international research institute of the Max Planck Society located in Berlin. The institute ( employees) was founded in 2018 with the mission to strengthen basic research on pathogens (bacteria and viruses) causing diseases in humans. At MPUSP, researchers aim to achieve a better understanding of the complexities of pathogens and their interactions with their natural environment by developing innovative approaches. We are particularly interested in the molecular and cellular mechanisms of regulation by RNAs and proteins in bacterial pathogens. Job summary The successful candidate will be expected to provide full support to the director's administrative team in the operations, task executions, organization, planning, coordination, and management of the administration of the institute in accordance with the rules and regulations of the Max Planck Society (including technical and legal support in the areas of human resources, finance, procurement, third-party funding and agreements, and coordination with the Max Planck Society). Main responsibilities Support the operations (day-to-day business), organization, planning, and management of the unit's administration (e.g. in the areas of human resources, finance, accounting, purchasing, contracts and agreements, general services) Fully integrate, collect, and communicate all information published by the Max Planck Society, including legal matters, rules of procedure, regulations, and guidelines of the Max Planck Society in the areas relevant to the unit (e.g. human resources, finance, controlling, and management) Support to ensure compliance with all legal, intramural (Max Planck Society) and extramural requirements in administrative actions and financial, budgetary and economic management, personnel, and procurement Manage and supervise the strategic planning, implementation, and control of the unit's intramural (Max Planck Society) and extramural budgets and purchases, in coordination with the director and the administrative team Prepare (develop, write, edit, format and layout) letters, reports, and other documents Prepare compilations and summaries of the unit's administrative management activities Manage the digital documentation platform (e.g. regulations, guidelines, forms, lists) of the unit's administration and management Qualifications Higher university education in management, administration, and/or law Several years of experience in a corresponding position are desirable (preferably in German public research institutions) Thorough knowledge of administrative and management regulations as well as legal issues relating to a publicly funded research institution (administrative, municipal, budgetary, tariff, subsidy, corporate and autonomy law) Native German language skills would be an advantage Excellent knowledge of English (written and spoken) Excellent level of commitment, organizational skills, sense of responsibility, reliability, dedication, and decisiveness Service orientation, interest in learning new tasks, ability to manage projects in a multi-tasking manner, handle multiple requests, and meet tight deadlines Excellent computer skills, including working knowledge of writing, presentation, illustration, database management software (preferably PowerPoint, Word, Excel, Outlook, Adobe, Database Management, SAP), and other communication software The position is initially limited to two years. Remuneration is paid in accordance with the Collective Agreement for the Public Service (TVöD Bund), depending on the tasks assigned and qualifications.
