The Loan Services Assistant position coordinates office operations and performs administrative duties in support of the Loan Services Team. The position processes all Association long-term real estate full deed of trust releases. This position is also a trainee for the Loan Services Specialist role and will provide backup to the Loan Services Specialists in the Loan Services department. The trainee component requires review and preparation of legal documents for loan closings.
This position is open until filled.
This position is located in Jefferson City, Missouri.
This position is classified as Non-Exempt under the Fair Labor Standards Act.

Office Duties
Contacts service providers for office equipment maintenance and document shredding
Orders office supplies
Schedules and sets up for meetings and events
Compiles invoices for VP approval
Processes incoming mail, including the processing/tracking of newly signed promissory notes and sending them to our funding bank on a weekly basis
Processes original loan documents and loan policies received from title companies
Logs, scans and prepares overnight packages of original notes to be sent to our funding bank
Handles annual inventory of office equipment
Maintains updates to training manuals
Prepares packets and manuals for meetings and other events
Reviews and resolves issues reflected on various monthly reports
Responds to internal/external customer requests and/or identifies the correct staff member to respond
Scan closing packets for Loan Services staff, as needed
Reviews unfunded balance reports and sends follow up emails to get fees cleared

Processing Releases of Deeds of Trust
Verifies loan status
Confirms with branch staff permissions to release deeds of trust
Reviews original loan documents received from our funding bank
Prepares releases of deeds of trust
Prepares envelopes for the county recorder to record prepared release for counties that don't e-Record
Uploads releases to e-Record for electronic recording
Sends documents to the customer in a timely manner
Maintains updated list of counties with e-record capabilities

Document and Information Review and Document Preparation
Processes real estate loans under direction of Loan Services department leadership
Reviews various items including title commitments, appraisals, entity formation documents and other supporting documents for accuracy and adherence to regulations and Association policies and procedures
Verifies and inputs information into applicable databases. Performs maintenance to system data as necessary
Follows up on questions, inconsistencies and missing information
Answers questions regarding loan documentation
Generates and merges loan documents using applicable software
Prepares closing instructions and various other documents for loan closings

Required Skills
Minimum Qualifications
High School Diploma
2 years of related experience
Or an equivalent combination of education and experience sufficient to perform the essential functions of the job
