Job Summary: As a Payroll Clerk, you will be responsible for accurately processing employee payroll and related financial transactions. Your primary duties will include calculating wages, preparing payroll reports, and ensuring compliance with relevant regulations. Strong attention to detail, organizational skills, and proficiency in payroll software are essential for success in this role.
Responsibilities:
Payroll Processing: Calculate employee wages based on hours worked, overtime, bonuses, and deductions using payroll software or spreadsheets. Ensure accuracy and timeliness of payroll processing in accordance with established deadlines.
Data Entry: Enter payroll data, including new hires, terminations, changes in salary or benefits, and timekeeping information into the payroll system. Verify accuracy of data and resolve any discrepancies.
Benefits Administration: Assist with the administration of employee benefits, including health insurance, retirement plans, and other employee deductions. Ensure accurate deduction of benefits premiums from employee paychecks.
Tax Withholding: Calculate and deduct federal, state, and local taxes from employee wages in compliance with tax regulations. Prepare and submit payroll tax deposits and reports to relevant government agencies.
Payroll Reconciliation: Reconcile payroll accounts and resolve discrepancies between payroll records and general ledger accounts. Prepare payroll journal entries for posting to the accounting system.
Payroll Reporting: Generate and distribute payroll reports, including earnings statements, tax reports, and labor distribution reports, to management and employees as needed.
Recordkeeping: Maintain accurate and organized payroll records, including employee files, tax forms, and payroll registers. Ensure compliance with record retention policies and regulations.
Compliance: Stay informed about changes in payroll regulations, tax laws, and labor laws. Ensure compliance with federal, state, and local regulations governing payroll practices.
Customer Service: Provide excellent customer service to employees regarding payroll inquiries, deductions, and tax withholding. Respond promptly and courteously to employee requests for information or assistance.
Qualifications:
Education: High school diploma or equivalent required. Associates degree or certification in Accounting, Finance, or related field preferred.
Experience: Minimum of 2 years of experience in payroll processing or related role. Experience with payroll software (e.g., ADP, Paychex, QuickBooks) is highly desirable.
Software Proficiency: Proficiency in payroll software and Microsoft Office applications, particularly Excel. Ability to learn new software systems quickly.
Attention to Detail: Meticulous attention to detail and accuracy in data entry, calculation, and recordkeeping.
Organizational Skills: Exceptional organizational and time management skills to prioritize tasks effectively and meet deadlines in a fast-paced environment.
Communication Skills: Excellent verbal and written communication skills, with the ability to communicate effectively with employees, managers, and external stakeholders.
Confidentiality: Ability to maintain confidentiality and handle sensitive employee information with discretion and professionalism.
Problem-Solving Skills: Strong analytical and problem-solving skills, with the ability to troubleshoot payroll issues and propose effective solutions.
