Reporting to the Chief Operating Officer, this role sits within the Trust’s Executive Team structure and requires the post holder to support the Trust’s Chief Operating Officer with the administration of the Executive Team and Trustee Board, and management of all related meetings.
What you will be doing?
Reporting to the Chief Operating Officer but working closely with the Chief Executive Officer and other members of the Executive Team, as well as the Chairman and Board of Trustees, the Executive Administrator is responsible for:
* Act as Secretary for the Executive Team Meetings and Trustee Board and Sub-committees by organising meetings, preparing agendas, looking after agenda cycles to ensure all necessary items are brought to the relevant bodies’ attention and with the correct timing, collation, editing, preparation, printing, and circulation of all meeting papers by post and e-mail as required.
* Minute-taking of the Executive Team Meetings, Trustee Board Sub-committees and Main Board as required, including both ordinary and extraordinary meetings.
* Arrange for regular review of all terms of reference by the Executive Team and Trustee Board, ensuring the most up to date documentation is filed appropriately.
* Help to plan, co-ordinate, communicate and maintain a 12-month rolling business cycle for the Executive Team and Trustee Board to ensure that regular reporting is considered at the appropriate time and to ensure on-going compliance with legal and regulatory obligations.
* Plan and maintain records of Trustee Board training, to ensure compliance with all Trust and regulatory requirements.
* Help to ensure that fit and proper checks are conducted as necessary on Directors and related party declarations are up to date.
* Co-ordinate new Trustee on-boarding and inductions.
* Co-ordinate Trustee Recruitment.
* Provide support services in the production of business letters, reports, papers, minutes, spreadsheets, presentations and other documents as required, ensuring deadlines are met and the documents meet corporate and professional standards.
* Provide administrative support to the Senior Management Team – minuting meetings.
* Provide administration support to the Head of Equality, Diversity& Inclusion.
* Maintenance of high quality administrative/filing/record systems to support the Executive Team.
* To carry out any other duties that may reasonably be required by the Trust.
* Update job knowledge by participating in continuous professional development.
What are we looking for?
Essential Qualifications
* A Level/Degree standard of education and/or recognised business/secretarial qualification.
As the profession is constantly evolving, you will be expected to continuously update your learning and knowledge throughout your career.
Essential Experience
Experience in an administrative role, working with Senior Managers and Executives or Board Members.
Excellent IT skills, proficient with Microsoft Office Suite, including Word and Excel.
Experience of establishing and maintaining efficient systems.
Experience of diary management and co- ordinating meetings and events.
Able to understand different stakeholders and their needs, prioritising work as necessary and working autonomously.
Strong organisational skills with the ability to multi-task and a high level of attention to detail.
Credible, confidential, diplomatic, and efficient at all times.
Strong interpersonal skills, flexibility, self-motivation, and enthusiasm are essential, as is the ability to meet deadlines.
