Frontera Therapeutics is seeking an Executive Assistant/Office Manager to join our Team. The Executive Assistant to the CEO is responsible for supporting the daily activities and general office duties of the CEO and senior members of the executive team. S/he will leverage a broad range of skills with a high degree of professionalism, initiative, proactivity and collaboration, and exercise good judgment in a variety of situations. S/he must be able to work under pressure with the ability to handle a wide variety of activities with significant attention to detail and will be expected to handle confidential matters with discretion.
The candidates office Management skills include, but not limited to the following:
* Maintains office services by organizing office operations and procedures;
* Enhancing communication;
* designing filing systems;
* Reviewing and approving supply requisitions;
* Monitoring clerical functions;
* Creating an optimal work environment in support of the corporate culture and objectives.
Key Responsibilities
* Provide high level administrative support to the CEO and senior executive management team
* Handle general office tasks, providing polite and professional assistance via phone, mail and email
* Regularly handle confidential and proprietary information with utmost discretion
* Proactively manage calendars, with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency
* Schedule interviews for prospective candidates as needed, working closely with HR and Hiring Manager
* Manage high level meeting planning and logistics, including calendar coordination and preparing and printing materials comprised of reports, PowerPoint presentations, spreadsheets and other documents/ materials, as needed
* Create and submit expense reimbursement reports for CEO and Executive team, as needed
* Coordinate domestic and international travel arrangements
* Arrange off-site meetings as needed, including venue, A/V equipment, accommodations, catering, meeting supplies, etc., as needed
* Capture notes and action items at key departmental meetings, and follow up as needed
* Provide administrative support for documents and presentations, using Microsoft Office Suite (including proof reading and formatting)
* Order office supplies, retrieve and distribute mail and packages, organize and maintain office and supply room
* Coordinate internal and external company meetings and activities, including Board of Director meetings and events
* Ensure complete and accurate files (paper and electronic)
* Assist HR with employee initiation, and all related onboarding requirements
* Develop and carry out an efficient documentation system
Educational Requirements
Minimum of a bachelor's or assoicates degree in administrative assisting, business, finance, or another related field, plus relevant experience and training.
Requirements
Experience and Skill Requirement:
* Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
* Full comprehension of office management systems and procedures
* Excellent knowledge of MS Office Suite
* Exemplary planning and time management skills
* Up to date with advancements in office gadgets and applications
* Ability to multitask and prioritize daily workload
* High level verbal and written communications skills
* Discretion and confidentiality
