Purpose of the Role
As a Design Admin Assistant, you will support the Design team with all aspects of administration and organisation through the design process.
Main Role Objectives
Monitoring Key Dates and assist across the Design team where required.
Working closely with the design team/purchasing team/bid managers/estimators/production department to ensure deadlines are met and work/outputs are accurate, throughout the design and development process.
Direct communications with supplier/manufacturers/Main contractors and Architects to obtain/supply Technical Data sheets/brochures.
Document Control Admin internal/external uploading data internally to OSS Production systems and/or staff (via email), Main Contractors/Architects/Consultants via software and/or email.
Preparation, maintain, control and issuing of:
• CDM up front Info as and when requested for each project.
• Operation & Maintenance Manuals at the completion of projects for clients and end users.
• PDF’s Tech Subs, collate and upload data to Main Contractors sites/software.
• Assist with DWG, naming, numbering, including maintaining DWG Registers, upload to internal systems/archive/distribution and/or Main Contractors sites/software.
• BIM360 Cobie-Data collating and uploading data to Main Contractors sites/software.
• Carbon Footprint data collating and uploading data to Main Contractors sites/software.
• Maintain internal Parts/Products Library manufacturers data sheets.
• Co-ordination of samples internal/external.
• Project specific GA DWG’s downloading data to Main Contractors sites/software.
• First-Off Photos & Certification (issuing to Client).
• QA Documents inc. MEP Test Certification, collating and uploading data to Main Contractors sites/software.
• Maintain/update OSS Design Planner.
• Pod Schedules uploading data to Main Contractors sites/software.
Essential Skills
• Word, Excel, Power Point, Outlook, Teams, Adobe PDF. Document management systems.
• Be available to start a new role immediately or on short notice is beneficial.
• Management of admin and orders for multiple projects at varying stages of project cycle.
• Organisation & Time management.
• Previous experience within a similar role.
• Customer service skills.
• Excellent knowledge of all Microsoft Office programs and great Excel skills.
• Be able to track and prioritise workload against resource and timescales.
• Must be able to work on own initiative.
Desirable Skills
• knowledge of offsite manufacturing to construction
