Job Overview:We are looking for a reliable Administrative Assistant to provide administrative and clerical support to our team. The ideal candidate will have excellent communication and organizational skills, as well as the ability to multitask and prioritize tasks in a fast-paced environment.
Responsibilities:
Greet visitors, answer incoming calls, and respond to inquiries in a professional and courteous manner.
Manage calendars and schedule appointments, meetings, and conference calls for team members.
Prepare and distribute correspondence, memos, reports, and other documents.
Assist with the preparation of presentations and meeting materials.
Coordinate travel arrangements, including booking flights, hotels, and transportation.
Maintain office filing and organization systems, including both physical and electronic files.
Assist with data entry, recordkeeping, and updating databases as needed.
Order and maintain office supplies inventory, and ensure supplies are stocked and available.
Assist with special projects and events, including coordinating logistics and providing onsite support.
Handle incoming and outgoing mail, packages, and deliveries.
Perform general administrative tasks such as photocopying, scanning, and faxing.
Collaborate with team members to ensure efficient and effective office operations.
Uphold confidentiality and handle sensitive information with discretion.
Qualifications:
High school diploma or equivalent; associate or bachelors degree preferred.
Proven experience as an administrative assistant, secretary, or similar role.
Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent communication and interpersonal skills, with a professional demeanor.
Attention to detail and accuracy in completing tasks.
Ability to work independently and as part of a team in a fast-paced environment.
Previous experience in customer service or receptionist role is a plus.
