WHO YOU ARE
We are in search of a versatile individual to fulfill the dual role of Accounting Assistant/Office Administrator. This unique position combines the fundamental responsibilities of an entry-level accounting assistant with the dynamic duties of office management and executive support. As an integral member of our team, the successful candidate will seamlessly transition between handling basic accounting tasks and ensuring the smooth operation of a remote workforce. From managing financial records to orchestrating the daily functions of the executive suite, this role requires adaptability, attention to detail, and a proactive approach to problem-solving.

A DAY IN THE LIFE
Finance and Accounting
Assist with accounts payable and receivable processes including invoice processing, payment collection, and vendor management
Assist in month-end close activities
Assist in budget/forecasting preparation and monitoring
Deposit checks, send FedExes, and any other errands needed around our Tampa office
Provide administrative support and special projects for CFO
Office Administration/Exec Support
Coordinate and manage the schedules of executive suite (as needed), including arranging meetings, conference calls, travel arrangements, and appointments across different time zones in a fully remote environment
Organize and facilitate virtual meetings, including setting up video conferencing, screen sharing, and distributing relevant materials
Assist in planning and coordinating off-site meetings/events including logistics, registrations, etc.
Assist with document preparation and formatting, including emails, reports, presentations, and other materials for executive review
Maintain the electronic filing system ensuring accurate and up-to-date records of documents, files, and confidential information

Requirements
Bachelor’s degree in accounting, finance, business, or related field
1-3 years of experience working for a technology company or in a corporate environment
Strong attention to detail and accuracy of data
Ability to manage confidential information with the utmost diligence
Proficiency in Quick Books and Microsoft Office suite, particularly Excel and Teams
Excellent organizational and time management skills
Previous experience providing administrative support to C-level executives
Ability to multitask and prioritize tasks effectively
Strong written and verbal communication skills
A HIPAA compliant work from home office in the Tampa area
Ability to meet at Tampa HQ office and run local errands as needed
