Location: Swavesey - Office Based

Our client procures, develops, leases, and manages commercial properties in the UK. They own all their premises, many of which are in prime sites. This well-established business, based in well-appointed offices in the countryside, manages residential, student rooms and a wide variety of commercial and retail premises.

The purpose of the job is to provide administration support to the business and provide customers with a first-class professional experience, whether on the phone or face to face.

Duties:

Senior Management Support - assist Office Manager and MD as required.
Reception - act with the highest level of professionalism to meet, greet and sign-in visitors; offering refreshments as necessary; maintaining office kitchen supplies; preparing and clearing the boardroom before and after meetings.
Switchboard - talk in a professional manner with customers and transfer calls to the correct department/individual or deal with enquiry; regularly check answer machine; take messages accurately and forward to the relevant person.
Enquiries Inbox - respond and qualify enquiries received to the inbox in a timely manner before passing the enquiry through to the relevant property manager.
Spare Room - monitor and respond to SpareRoom enquiries in a timely manner before passing the enquiry through to the relevant property manager.
Post - sort and distribute incoming post in a timely manner; ensure outbound post including recorded or special delivery items is prepared ready for collection; order postal products as required and manage funds on the franking machine.
Deliveries - report deliveries to the correct department/person in a timely manner
Office Equipment - liaising with third party providers (i.e. photocopiers, water coolers, hot water dispenser) as required.
Office Stationery & First Aid Supplies - place orders and manage stock; control expenditure.
Residential department. - take messages for the residential department and communicate accurately to the relevant member of the team; assist with arranging residential property viewings in conjunction with the property manager
Student department - assist with student enquiries via the telephone and email and liaise with student team to schedule student property viewings. Assist with student administration tasks as required. Provide essential support to the student team during the annual student changeover period including assisting with key handovers.
Training - undertake training as required.

AD-Hoc Duties

Maintenance department - provide administration support during periods of annual leave and assist with day-to-day document management (i.e. gas safety certificates, EPCs, Fire Risk Assessments) as required.
Accounts department - assist with accounts filing as required.
Commercial department - assistance as required
