Job Summary:The Accounting Administrator is a key member of the finance team responsible for overseeing various administrative and operational aspects of the accounting department. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities:
Accounts Payable and Receivable Oversight:
Supervise the processing of accounts payable and receivable transactions.
Review and approve invoices, purchase orders, and expense reports for accuracy and compliance.
Ensure timely and accurate billing and invoicing to clients and customers.
Monitor accounts receivable aging and follow up on overdue payments.
Financial Data Management:
Maintain and update financial records, including general ledger entries and subsidiary ledgers.
Monitor and reconcile bank accounts, credit card statements, and other financial accounts.
Ensure the accuracy and completeness of financial data in accounting software systems.
Reporting and Analysis:
Assist in the preparation of financial reports, statements, and analyses.
Generate monthly, quarterly, and annual financial reports for management review.
Analyze financial data to identify trends, variances, and areas for improvement.
Budgeting and Forecasting Support:
Assist in the preparation of annual budgets and forecasts.
Track budget versus actual performance and report on variances.
Provide support in financial planning and analysis activities as needed.
Compliance and Audit Assistance:
Ensure compliance with accounting policies, procedures, and regulations.
Assist with internal and external audits by providing documentation and support.
Maintain organized and up-to-date records to facilitate audit processes.
Vendor and Customer Relations:
Communicate with vendors and suppliers regarding billing inquiries and discrepancies.
Address customer inquiries and resolve issues related to billing and payments.
Cultivate positive relationships with vendors, clients, and colleagues.
Administrative Support:
Provide administrative assistance to the accounting department as needed.
Manage incoming correspondence, phone calls, and emails related to accounting matters.
Assist with filing, scanning, and organizing financial documents and records.
Qualifications:
Bachelor's degree in Accounting, Finance, or related field preferred.
Proven experience in accounting or finance roles, with supervisory experience preferred.
Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Office suite.
Strong analytical skills and ability to interpret financial data.
Excellent communication and interpersonal skills.
Ability to prioritize tasks and meet deadlines in a dynamic environment.
Attention to detail and accuracy in all work activities.
Knowledge of accounting principles, regulations, and best practices.
