* Salary: £28,250, including a location allowance of £1,750

* Location: Hanslope Park, Milton Keynes

* Hours: Full Time. You’ll be expected to work a minimum of 60% of your time in the office, and part time and flexible working may be considered

Your role with us

As one of our Administrative Officers you’ll focus on providing professional office administration and support on the processing of transactions, projects, budgets and customer service functions, and a range of internal and external communications. All roles are customer-oriented and your work, which is essential to the ability of the FCDO to deliver its objectives, will be configured to meet specific business needs. It will typically include the following key areas:

* Transactions and Receipts Processing: This work will involve checking invoices and identifying mismatches, using systems such as internet banking and Oracle to process payments, reconciling and investigating payments, dealing with FCDO credit card issues and issuing invoices for services we provide.

* Customer Services: Here you’ll provide professional guidance to customers and resolve queries within agreed timeframes.

* Knowledge and information Management: The maintenance of Excel spreadsheets, databases, records and desk notes will be your focus here.

* Professional Office Administration and Support: Your tasks will include the creation and maintenance of electronic filing systems, databases and distribution lists, and dealing with telephone and email enquiries. You’ll also organise meetings and events and take relevant notes, maintain stationery supplies and undertake corporate roles such as fire warden or first aider, for which training will be provided.

* Project Management Support: This will involve monitoring progress against objectives, ensuring the project remains on schedule, anticipating and managing risks, and the maintenance of accurate records.

* Budget Management: Budget monitoring, requisitioning and raising purchase orders will be your tasks here, as well as the manipulation of data using spreadsheets, assisting with budget forecasting and developing an understanding of commercial and procurement policies.

* Public Facing Services: Your work here will focus on supporting British Nationals and others by assessing applications for document legalisation. You’ll also work on overseas birth and death registrations and assess academic technology approval applications for overseas students.

Who we’re looking for

To be a success as one of our Administrative Officers, you’ll have strong literacy, numeracy and IT skills, with a particular emphasis on Windows10, Outlook, Excel and the other elements of the Microsoft Office suite of software.

We’ll expect you to possess good interpersonal, team-working and oral and written communication skills, and in addition to superb organisational, analytical and planning abilities, you’ll be capable of working to tight deadlines. You should also have the skills to make effective decisions, identify problems and propose solutions as you work to maintain a high quality service.
