We have a great opportunity to join a well established team with fantastic prospects for a more long term role and career progression. As a Project Administrator based in the heart of City Centre Manchester the role will start initially start on a temporary basis for 6 months with the opportunity of hybrid working and long career progression.
What will you be doing as a Project Administrator?
· To work flexibly to undertake administrative activities to support the delivery of projects in the strategic change office
· Clerical and administration activities;
· Provide secretariat support to the Project Steering Group and Project Boards, and any other committees and working groups as required;
· Diary management and supporting project meetings and events, diary and inbox management, room and catering bookings, circulating paperwork as required, minute taking and monitoring/tracking completion of actions;
· Booking meetings and producing meeting notes;
· Dealing with correspondence or enquiries from colleagues or students;
· Processing purchase requisitions and the payment of invoices and expenses involving the use of the finance systems, and administer related documentation;
· Ensuring the efficient operation of administrative processes, including monitoring and reporting on activity;
· Providing clerical and administrative support to project teams;
· To supervise and co-ordinate the work of project assistant staff as required;
· Maintaining accurate records and working with IT systems and processes;
· Providing analysis and insight in the relation to aggregated project data;
· Support the setup and administration of project support tools and systems, including the PPM tools, project and collaboration technology tools;
· To provide information and guidance to colleagues on systems and processes within allocated work area;
· To develop and maintain a process for project document and configuration management;
· Ensure project timesheets are submitted regularly;
· Co-ordinate the recruitment processes and support the joiners and leavers processes, including on-boarding and induction processes;
· Support the production of project related documents and liaise with stakeholders for sign off;
· Sharing ideas and suggestions for improvements;
· To ensure that confidentiality of information is maintained in line with data protection requirements and Policy;
· To comply with Health and Safety requirements;
· To act in accordance with equality, diversity and inclusion policies;
· To undertake such other duties) as directed by line manager, commensurate with the level of responsibility for the role.
What experience you will require for the role of Project Administrator?
Knowledge and experience of in a variety of project administrative roles and the ability to quickly learn, understand and apply policies and procedures;
Experience of providing secretariat services to governance bodies;
Excellent communication skills (oral and written), demonstrating an ability to deal with a wide range of people;
Flexible and responsive to customer needs and able to provide information, advice and guidance whilst maintaining confidentiality;
Excellent organisational skills, able to prioritise a variety of work activities in a busy environment and meet strict deadlines;
Experience of working in a team environment within a large organisation;
Demonstrates an ability to be flexible and provide support for colleagues;
Demonstrates a high level of accuracy and attention to detail;
Demonstrates numeracy, analytical and problem solving skills with the ability to identify and resolve issues effectively;
Good MS Office/IT skills, with demonstrable experience working with MS Outlook, Word, Excel and Power Point, Teams, SharePoint;
Able to supervise staff and co-ordinate work activities;
Demonstrates a commitment to enhancing the student experience;
