Planning Coordinator

Solihull

6 months Temporary – opportunity to be Permanent

Hybrid Working

up to £30k

Due to continued growth, an exciting opportunity has become available for an experienced Planning Coordinator to join a small, friendly team based in Solihull.

As a Planning Coordinator, you will take responsibility for the planning and scheduling of engineers to install the scalable platform enabling retails to act on predictive and prescriptive data in retail environments. Ideally you will have experience with this previously.

Duties:

Scheduling:

* Coordinating a team of engineers.

* Ensure all information is accurate and fast

* Monitoring the progress of installations to ensure they are working to schedule.

* Scheduling sub-contractors

* Strive for ‘Right First Time’ installs

* Communicate to resolve any issues with customers regarding the scheduling of service repair

* Assign work dependant on customers’ expectations and priorities

* Monitor activity and ensure customer commitments are met

* Communicate clearly any changes to customers regarding early or late anticipated arrivals

Logistics

* Negotiate with suppliers and coordinate any delivery or materials or equipment

* Perform shipping operations

* Place Purchase Orders for project materials

* Flag and escalate any back orders

* Co-ordinate and repair RMA’s

* Co-ordinate any plant hire

Billing

* Carrying out final checks once a job is complete prior to beginning the billing process

* Billing invoices and credit notes

* Processing data entry for new orders and order modifications

* Managing orders received via Basware

* Communicate with clients regarding financial/administrative issues

* To respond to customers with disputes to ensure resolution in a timely and expeditious manner and facilitate resolution as may be necessary

* Interaction with internal departments to ensure customer queries are effectively resolved and documented where appropriate

* To conduct regular reviews with Operations & Sales Management to resolve outstanding issues in a clear and defined manner and record such activity on collection system.

Experience

Previously worked either a Customer Service or Operations / Service Delivery role

Strong mentality and adaptability, to be able to make fast and good decisions

Good knowledge of MS Office, especially MS Office Excel

PC literate

Experience working with bespoke software

Experience of Resource Planning/Workforce Management systems and processes

Excellent communication and interpersonal skills – good telephone manner and appropriate business communications

Excellent written and verbal communication skills

Able to work in a team

Able to operate under pressure
