For more information, visit Position Title: Regional Systems Specialist, Document Management Systems, Americas Reports To: Regional Manager, Global Project Delivery Systems Why Does This Position Exist? Optimize project delivery through its lifecycle, provide system implementation planning, project and user set-up, configuration and training for Aconex on all projects. Assist with input to the development and maintenance of the system standard build, application security, documentation, reporting, systems integrations, and participate in new release testing and rollout. Other tools to assist are Bluebeam, DocuSign, and BIM 360. Project Implementation Participate in project discussions, investigate and understand project requirements, and take the lead with the development and adherence to the Project Information Management Plan. Revise the plan as needed when changes occur that affect the use of Aconex, BIM 360, and Document Management related activities. Set up and configure projects and users in Aconex and related Document Management systems. Deliver presentations to the project team as required. Develop training schedules and deliver required training. Project and User Support Provide support to projects and users at 2nd and 3rd tier levels using Service Now for all Document Management Systems (Aconex, BIM 360, DocuSign, and Bluebeam). Proactively seek out ways to help projects and users maximize efficiency using Aconex and BIM 360. Monitor the use of Aconex and BIM 360 to ensure compliance with global standards and that each function's activities support the next, and ultimately support the required and effective use of Aconex and BIM 360 at all project locations (including site offices). Perform system health checks throughout the project lifecycle and close out projects with lessons learned. Maintain a strong working relationship and rapport with projects to ensure objectives are being met and solutions applied are effective. Training Provide training to users online with global standards and project Document Management requirements. Assist with the development and maintenance of training documentation. New Release Testing and Implementation Test all modules/functions used in the global standard configuration. Ensure projects will not be negatively impacted by the upgrade. Report issues to vendor for resolution as needed - expedite solutions. Plan and support production rollout. Communicate changes to the users. Monitor success post rollout - manage issues. Systems Knowledge and Continuous Improvement Maintain in-depth knowledge of Document Management Systems in all modules and associated work processes. Maintain a high level of understanding of functional work processes and procedures, overall EPC business, and project execution. Investigate ways to improve productivity, efficiency, or information availability and visibility for projects. Evaluate new system functionality and determine if fit for purpose. Collaboration with the Business Regular meetings with the Locations Functional representatives for Aconex and Document Management in the specific region Coordinate in-house education, promotion and awareness programs for project staff and business unit managers Input to proposals and presentations with respect to our integrated execution capabilities at Worley. Develop Location Support Team Capability Develop location support team capabilities for Document Management systems and implementation, training (train the trainer), and 2nd tier support (where location support teams are available, the global team is 3rd tier support for advanced issues). Communicate regularly with location support teams regarding changes in System that may impact projects and users, and to understand the status of project implementation and usage effectiveness. Responsible for personal safety, safe working practices, etc. - understand and follow the Worley OneWay Framework. Support Project Information Manager in planning and coordination of Project Delivery Systems configuration, implementation, integration and training during start-up of new projects as they apply to Aconex and Document Management systems. Job Specific Knowledge: 10+ years' experience with Aconex and/or Document Management systems usage, support, administration, and configuration. Comprehensive understanding of Document Management principles. Strong overall understanding of project requirements, deliverables and workflows. Ability to effectively deliver presentations to both internal and external stakeholders. Industry Specific Experience: 10+ years of relevant Document Management experience; preferably using Aconex or equivalent. Education - Qualifications, Accreditation, Training: A recognised degree or equivalent qualification/experience. HSE Capability: Demonstrate behaviour and business practices commensurate with a culture of world's best health, safety, and environmental performance. IT Skills: Proficient in MS Office applications. General knowledge of systems (operting systems, software installation, and configurations). People Skills: Excellent verbal and written communication skills, strong organizational skills, detail oriented, self-motivated, and efficient. Ability to apply intelligence and knowledge to problem solving and meet deadlines. Be able to coordinate work with other offices. Be a team player and able to work effectively in a virtual team.
