Overview:We are currently seeking a meticulous and detail-oriented Payroll Clerk to join our finance team. The Payroll Clerk will be responsible for accurately processing payroll transactions, ensuring compliance with payroll laws and regulations, and providing support to employees regarding payroll-related inquiries. The ideal candidate will possess strong numerical skills, attention to detail, and the ability to maintain confidentiality.
Responsibilities:
Payroll Processing: Process payroll transactions accurately and in a timely manner, including calculating wages, overtime, bonuses, and deductions. Verify timesheets, attendance records, and other payroll inputs for accuracy.
Data Entry: Enter payroll data into the payroll system and ensure accuracy of employee information, pay rates, tax withholding, and deductions. Maintain up-to-date records of employee earnings and deductions.
Payroll Administration: Administer payroll-related tasks such as new employee setup, terminations, changes in employment status, and adjustments to payroll records. Process direct deposits, paychecks, and electronic funds transfers.
Tax Compliance: Ensure compliance with federal, state, and local payroll tax regulations. Calculate and withhold taxes, including income tax, Social Security, and Medicare. Prepare and file payroll tax returns and reports as required.
Benefit Deductions: Administer employee benefits deductions, such as health insurance, retirement contributions, and garnishments. Coordinate with benefit providers to ensure accurate and timely deductions.
Payroll Reporting: Generate payroll reports for management review and financial reporting purposes. Prepare and distribute payroll reports to departments as needed.
Recordkeeping: Maintain accurate and organized payroll records, including employee files, payroll registers, tax filings, and other payroll-related documents. Ensure confidentiality and security of payroll information.
Payroll Inquiries: Respond to employee inquiries regarding payroll matters, including paychecks, deductions, taxes, and benefits. Provide assistance and guidance to employees on payroll-related policies and procedures.
Audit Support: Assist in internal and external payroll audits by providing requested documentation, reconciling payroll records, and addressing audit findings as needed.
Qualifications:
High school diploma or equivalent; associate or bachelors degree in accounting, finance, or related field preferred.
2+ years of experience in payroll processing or related administrative roles.
Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks) and Microsoft Excel.
Strong understanding of payroll laws, regulations, and compliance requirements.
Excellent numerical aptitude and attention to detail.
Ability to handle sensitive and confidential information with discretion.
Strong communication and interpersonal skills.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Certification in payroll administration (e.g., Certified Payroll Professional) is a plus.
