Position Overview:The Accounts Payable Specialist will be responsible for managing the accounts payable function within the finance department. This role requires meticulous attention to detail, strong organizational skills, and the ability to communicate effectively with internal stakeholders and vendors. The ideal candidate will possess a solid understanding of accounting principles and have previous experience in accounts payable processes.
Key Responsibilities:
Process vendor invoices accurately and efficiently, ensuring proper coding, approval, and documentation.
Verify the accuracy of invoice amounts, terms, and other details against purchase orders and contracts.
Coordinate with internal departments to resolve any discrepancies or issues related to invoices, purchase orders, or payments.
Prepare and perform weekly check runs, ACH payments, and wire transfers in accordance with payment terms and company policies.
Reconcile vendor statements and resolve any discrepancies in a timely manner.
Maintain accurate and up-to-date vendor records, including contact information, payment terms, and tax documentation.
Assist in month-end close activities, including reconciling accounts payable sub-ledger to the general ledger.
Respond to vendor inquiries and resolve payment-related issues courteously and professionally.
Assist in the implementation of process improvements and efficiency initiatives within the accounts payable function.
Adhere to internal controls and compliance requirements to ensure the integrity of the accounts payable process.
Assist with other ad-hoc projects and tasks as assigned by management.
Qualifications:
Bachelor's degree in Accounting, Finance, or related field preferred.
2+ years of experience in accounts payable or related finance/accounting role.
Proficiency in Microsoft Excel and experience with accounting software (e.g., QuickBooks, SAP, Oracle).
Strong understanding of accounting principles and practices.
Excellent attention to detail and accuracy in data entry and analysis.
Ability to prioritize tasks and manage deadlines in a fast-paced environment.
Effective communication skills, both written and verbal.
Proven ability to work collaboratively in a team environment.
Experience with process improvement initiatives is a plus.
